Overview
We are seeking a highly organized and proactive Legal Specialist to support our legal team. This position (reporting to General Counsel) requires exceptional technical, critical-thinking skills, multitasking abilities, attention to detail, and a comprehensive understanding of legal and administrative functions. The ideal candidate will play a crucial role in helping the legal team operate smoothly and efficiently to achieve daily and long-term goals within our corporate office.
What You'll Do
- Manage legal vendors and matters within Simple Legal, our eBilling platform, to ensure accuracy and compliance with company policies and requirements including, but not limited to, reviewing and approving invoices, validation of proper coding, generating spend reports, collaborating with regional billing specialists and outside counsel, and working closely with internal accounting to ensure timely payments.
- Manage and support General Counsel and 3+ Vice Presidents by scheduling meetings, appointments, making travel arrangements, and staying available for any changes or needs during travel.
- Field complex requests and questions from our legal team, internal business partners, external vendors, and promptly provide solutions and answers.
- Prepare and edit correspondence, meeting agendas, itineraries, presentations, and other documentation.
- Coordinate and organize executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Act as a liaison between the General Counsel, legal leadership team, and internal/external collaborators.
- Manage and store materials for Board of Directors meetings including meeting minutes, Legal Updates, and other documents.
- Collect and distribute mail and handle shipping domestically and internationally.
- Coordinate meetings and outings for the legal team.
- Generate expense reports for the legal leadership team using SAP Concur.
- Partner with the Global Executive Assistant team to plan executive meetings and events.
- Assist the legal team with additional projects and tasks as needed.
What You'll Bring to the Table
- Bachelor’s Degree or equivalent experience.
- Minimum of 5 years relevant experience with at least 3 years at a law firm or in-house legal environment.
- Highly technically savvy with the ability to troubleshoot and assist with technology issues.
- Expert in Microsoft Office Suite, Adobe Pro, and DocuSign.
- Highly proficient with Power Point.
- Exceptional written and verbal communication skills.
- Meticulous with details and organization.
- Successfully build relationships and partner cross-functionally.
- Ability to manage multiple high-priority, urgent, and confidential projects simultaneously.
- Willingness to take initiative and identify process improvements.
- High level of discretion necessary in working closely with confidential and sensitive information of the Company.
- Confidence to work and devise solutions independently.
- Diligent and successful working in a fast-paced, multifaceted environment.
- Exceptional critical thinking and problem-solving skills.
- Experience with Simple Legal/CounselGo billing platform preferred.
- Experience supporting executives at a multinational corporation preferred.
- Experience using SharePoint a plus.
- Interest or relevant experience in the legal field and subject matter.

Salary or Pay Range: $70,000-$80,000
Pay offered will vary based on job-related factors such as location, experience, training, skills, and abilities.
